The best business phone system for a UK business. There is no single best, only the best fit.

Short answer: for most UK businesses with a handful to a few dozen people, a cloud phone system (hosted PBX or VoIP) is the right choice in 2026. It rings desk phones, laptops and mobiles together, needs no equipment in the office, and keeps working after the UK’s old phone lines switch off on 31 January 2027. Which provider is best depends on six things.

How to choose

Six questions decide it. Answer them before you look at prices.

  1. Where does your team take calls?Desks, homes, vans, abroad. If people move around, mobile apps or a SIM-based option matter more than desk phones.
  2. Which numbers must you keep?Check every provider can take your existing numbers and will let you pick the switch date.
  3. Does the mobile need the office number?Some systems need an app on the phone; some put the office number on the SIM itself, so it works in the normal dialler.
  4. Which features will you actually use?A greeting menu, ring groups, opening hours, voicemail to email, call recording, CRM links. Avoid paying for a higher tier to unlock one of them.
  5. What will it really cost, and for how long?Per-user price, setup, numbers, handsets, call charges and fair use limits, and whether a 30 day rolling term exists. What a phone system costs.
  6. Who answers when it breaks?A named UK team, published hours, and a public service status page are worth more than a long feature list.

Is VoIP better than a landline for business?

For most businesses, yes, and the choice is closing anyway: analogue and ISDN lines stop working on 31 January 2027 and new ones have not been sold since September 2023. The one thing a traditional landline did better is keep working in a power cut, so keep a mobile available for emergency calls. See VoIP vs landline for business.

How much should a business phone system cost?

Cloud phone systems are priced per user per month, plus one-off setup, numbers and any desk phones you buy. As one example, TISA Cloud PBX is from £4.20 per user a month ex VAT on a 24 month term, or £6.40 on a 30 day rolling term.

Can I keep my business phone number if I change system?

Yes. UK landline and VoIP numbers can be moved between providers. A move typically takes 7 to 10 working days, and your current service keeps working until the switch.

Do I need new desk phones?

Not always. A cloud phone system can run entirely on apps for iPhone, Android, Windows and Mac. If you want desk phones, many existing SIP handsets can be reused; older analogue or ISDN handsets cannot.
